The Finance & Administrative Officer reports directly to the Executive Director. This position supports the regular day to day office administration and financial accounting of North Superior Workforce Planning Board (NSWPB) activities.
Finance Responsibilities: 70%
Manage and monitor Accounts Payable and Accounts Receivable;
Ensure all transactions are properly coded according to the account and project;
Ensure timely signing of all payables/cheques to avoid interest and late payment fees which includes contacting Executive Committee members to obtain signatures on a regular basis;
Maintain and monitor capital and consumable items, and ensure inventory records of same are current and complete;
Bi-weekly Payroll administration;
Calculate WSIB premiums and ensure payments are made;
Prepare monthly reconciling and balancing of accounts;
Assist with Board, staff and contractor expense claims as needed;
Prepare MasterCard reconciliations on a monthly basis;
Prepare and distribute monthly financial reports to the Executive Director and Board of Directors;
Prepare for annual audit;
Complete tasks pertaining to the annual audit as recommended by auditor that may be required prior to finalization;
Confirm submission of payroll and tax filings;
Prepare and ensure submissions of HST reports/filings;
Assist in budget preparation and forecasting meetings on a monthly basis;
Assist in preparing reports to funder(s) and ensure that a record is kept of those reports;
Ensure electronic and hard copy financial files and records are up to date, appropriate and accessible;
Administer Group Benefits and ensure payments and reconciliations are completed;
Prepare any financial data required by Executive Director in a timely fashion.
Administrative Responsibilities: 30%
Support NSWPB governance activities by assisting in organizing and coordinating Board meetings, Bylaw and Policy reviews, strategic planning meetings, the annual general meeting as well as ensuring compliance with all corporate reporting;
Conduct clerical and administrative duties for NSWPB including development/maintenance of numerous filing systems, facilitating internal and external communications, developing and maintaining up to date database of mailing/e-mail lists, communicating with all service providers regarding billing matters, pending orders, changes in accounts and services etc;
Obtain quotes/estimates from vendors for services required and negotiate contracts;
Assist with managing multiple funding Agreements, including preparing financial and project reports to funders on a regular basis (quarterly & annual depending on Funding Agreement);
Participate in weekly team meetings to facilitate the plan of activities necessary to reach the objectives to ensure the successful completion of projects;
Assist and support the Executive Director and the Board in achieving the short and long-term goals and mission of the organization by performing other related duties and special projects as assigned.
Post-secondary education in accounting or finance, business management, or a combination of equivalent education and experience;
Demonstrated bookkeeping experience working with multiple accounts;
Excellent communication, organizational and time management skills;
Strong computer skills and advanced-level working knowledge of Sage 50 and Microsoft Office (Outlook, Word, Excel, Access, PowerPoint);
Ability to self-motivate, work flexible hours including evenings and weekends;
Must be legally entitled to work in Canada;
Fluency in English essential; knowledge of French and/or other languages an asset.

Experience dealing with confidential information;
Familiarity with local employment programs and services within the Thunder Bay District;
Excellent written and verbal communication skills.
